As a PAYE-only agency, every worker we supply is employed directly by Hard Hat, meaning we bear full responsibility for their employment status, tax compliance, and regulatory adherence. Our Six-Point Vetting Process
1. Right to Work Verification
Original documents checked against the Home Office approved list. Share codes verified through the Home Office online checking service. Three-step process: obtain, check, copy. Time-limited permissions flagged for follow-up checks before expiry.
2. Identity Verification
Government-issued photo ID verified in person. Cross-referenced against Right to Work documentation. Biometric checks where applicable. Photograph taken and stored securely against the worker's profile.
3. CSCS / Competence Card Check
CSCS, CPCS, ECS, JIB, and CISRS cards verified using Smart Check technology. Card number, expiry date, and qualification level recorded. Card type matched to role requirements — blue skilled, gold trade, black management.
4. Reference Screening
Minimum two employment references obtained covering the most recent 12 months. References verified by telephone where possible. Gaps in employment history investigated and documented.
5. Qualification & Training Verification
Trade qualifications (NVQ, City & Guilds) verified against awarding body records. Additional certifications checked: SMSTS, SSSTS, First Aid, asbestos awareness, manual handling. Specialist tickets verified: PTS for rail, CPCS categories for plant.
6. Induction & Briefing
Workers briefed on site-specific health and safety requirements. PPE standards confirmed. Emergency procedures communicated. Drug and alcohol policy acknowledged. Behavioural expectations set including punctuality, professionalism, and reporting obligations.
